How CeraMix handles information, who is responsible for it, and what you can ask us to do with it.

Who we are
CeraMix is a product of Logical Crest Limited, a company registered in Kenya under CPR/2011/39132, with its office in Nairobi. You can reach us at services@logicalcrest.co.ke.
Our role, and our clients' role
CeraMix is used by businesses to manage their own customer relationships. When a business uses CeraMix, that business decides what information is collected and why. They are the data controller. Logical Crest is a data processor, acting on their instructions.
In practice this means that if you are a customer of a business using CeraMix and you want your information removed, the business you were dealing with is the right place to ask. We will act on their instruction.
What is processed
- Contact details a customer provides: name, phone number, and where they are.
- Conversation content: messages exchanged between a customer and the business, including any photographs or documents sent.
- Enquiry details: what a customer is interested in, in their own words.
- Transaction records: quotations, invoices and receipts raised by the business.
- Technical records needed to run the service: message delivery status, timestamps, and error logs.
We do not collect information about people who have not contacted one of our clients, and we do not buy contact lists.
Where it is held
Information is held on servers in Helsinki, Finland, which is within the European Union. Messages are delivered through established messaging providers, and those providers handle the message in transit as part of delivering it.
To prepare replies, the text of customer messages is processed by Google, which acts as our service provider for this purpose and does not use it to train its models. This processing may take place in countries outside Kenya and the European Union.
How long it is kept
Information is kept for as long as the business using CeraMix remains our client, because it is their record of their own customers. When a client leaves, their information is exported to them and removed from the live system on request.
A client can ask us to delete specific information at any time. To make a request, email services@logicalcrest.co.ke with the subject "Data deletion request". We confirm receipt within 5 working days and complete the deletion within 30 days.
What we never do
- We do not sell information, and we do not share it with advertisers.
- We do not use one client's information for the benefit of another client.
- We do not use customer conversations to train models.
Which law applies
Logical Crest Limited is subject to the Kenya Data Protection Act 2019, and is registered with the Office of the Data Protection Commissioner as a data processor, registration 863-9774-440A.
Where a client uses CeraMix to deal with customers in the European Union or the United Kingdom, the General Data Protection Regulation applies to that processing, and we act as processor on the terms agreed with that client.
Security
Access to a client's information is limited to that client and to the Logical Crest staff who operate the platform. Connections are encrypted. Each client's information is separated from every other client's, and this separation is enforced by the software rather than by procedure.
Asking us something
If you are a client, write to services@logicalcrest.co.ke and we will answer.
If you are a customer of a business that uses CeraMix, contact that business directly. They hold the relationship with you and they decide what happens to your information. If you cannot reach them, write to us and we will help you find the right route.
You also have the right to complain to the Office of the Data Protection Commissioner in Kenya.
